How we collect, use and protect your information.

Your trust matters more than any campaign. This policy explains, in plain language, what personal information BuzinessAI collects, why we need it, who we share it with and the control you have over it.

1.Who we are and what this policy covers

In short: This policy explains what personal information BuzinessAI collects, why we collect it and the choices you have. When you use BuzinessAI to manage your own customers, you decide how their information is used.

BuzinessAI, Inc. ("BuzinessAI", "we", "us" or "our") provides an AI workspace for marketing and sales made up of Ad Expert, Design Expert, Post Expert and Lead Expert. This policy explains how we handle personal information when you visit buziness.ai, use the app at app.buziness.ai, call our API, or otherwise deal with us.

For personal information we collect for our own purposes, such as your account, billing and use of our website, we decide how and why it is used. Under India's Digital Personal Data Protection Act, 2023 we act as a Data Fiduciary for that information, and under laws such as the EU and UK GDPR we are a controller.

When you use BuzinessAI to store or process information about your own leads and customers, you decide how that information is used and we process it on your behalf. Lead and customer data you manage explains how that works.

Please read this policy together with our Terms and conditions. Words given a defined meaning there have the same meaning here.

2.Information you give us

In short: We collect what you type or upload: your account details, the content you create in your workspace, billing details and anything you send us.

Account details
Your name, work email address, password or sign-in credentials, business name, role, and the details of team members you invite.
Workspace content
Brand kits, logos, images, videos, templates, captions, ad copy, campaign settings, audiences, the prompts you write for AI features, and files you upload.
Billing details
Billing name, business address, tax details such as a GSTIN where you provide one, and your plan, invoice and credit history. Payments are taken by Razorpay. We receive confirmation of each payment and limited details such as the card type and last four digits, but we never receive or store your full card number.
Forms and enquiries
When you contact us or our sales team, your name, email address, company, team size, monthly ad spend band, the topics you choose and your message.
Support and feedback
Messages, screenshots and request IDs you share with support, and any feedback or survey answers you choose to give.
Job applications
If you apply for a role, your CV, links, and anything else you send to our careers team.

You don't have to give us this information, but without account and billing details we can't provide the service to you.

3.Information from accounts you connect

In short: When you connect Meta, Google, YouTube, LinkedIn or other accounts, we receive what we need to publish, run ads and capture leads for you, and only after you approve access.

BuzinessAI works by connecting to the advertising and social accounts you choose. You approve each connection on the platform's own consent screen, and you can disconnect at any time from your workspace settings or from the platform itself. Depending on the accounts you connect, we receive:

  • Profile, page, channel and ad account names and IDs, and the permissions you granted
  • Campaigns, ad sets, ads, audiences, budgets and results such as impressions, clicks, spend and conversions
  • Posts you publish through Post Expert and how they perform, such as reach, likes and comments
  • Comments and direct messages on your connected pages, where you turn on auto-engagement
  • Leads submitted through Meta and Google lead forms, including the details each person entered

We use the access these platforms give us only to do what you ask in BuzinessAI. Our use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Each platform's own privacy policy governs what it does with information you share with it, including the ads you run and the ad spend you pay it directly.

4.Information we collect automatically

In short: Like most websites and apps, we log how the service is used and use cookies. Optional cookies stay off until you turn them on.

Device and log data
IP address, browser and device type, operating system, language, referring page, pages viewed, the date and time of each request, and error reports.
Usage data
Which features you use, the actions you take in the app, AI credits used, and how the service performs, so we can bill accurately and keep it running.
Approximate location
A city or country inferred from your IP address, used for security, tax and showing relevant content. We don't collect precise location.

Cookies and similar technologies

We use four categories of cookies. Strictly necessary cookies keep the site working and can't be switched off. The others are optional and stay off until you allow them. Your choice is stored on your device for twelve months, and you can change it at any time on the Cookie settings page.

5.How we use information

In short: We use personal information to run BuzinessAI, bill for it, keep it secure, support you and improve it. You can opt out of marketing at any time.

Service emails, such as receipts, security alerts and notice of changes to these policies, are part of the service, so you'll receive them while you have an account. Marketing emails always include a link to unsubscribe.

We don't make decisions about you that have legal or similarly significant effects based only on automated processing.

6.How AI features use your information

In short: AI drafts content from what you give it. A person approves everything before it goes live.

The Experts use large language models and other AI models to draft designs, videos, captions, ad copy, replies and suggestions for your leads. To do this, we send the relevant prompt and workspace content, such as your brand kit, past posts or a lead's details, to the model and return the result to your workspace.

  • Content is processed to produce output for your workspace, and stays inside that workspace, separate from every other business.
  • We may use AI model providers to run these models. They act as our service providers and may only process content on our instructions.
  • Brand voice features learn from the past posts in your own workspace, so captions sound like your business.
  • AI output is probabilistic and can be wrong. Drafts wait for a person to approve them before anything is published or any budget is spent.

7.Lead and customer data you manage

In short: Information about your own leads and customers belongs to you. We process it for you, on your instructions.

Lead Expert stores information about the people your business deals with, such as names, phone numbers, email addresses, messages, call notes and deal history captured from ads, forms and conversations. Post Expert and Ad Expert may also handle comments and messages from people who interact with your pages.

For this information you are the Data Fiduciary (or controller) and we are your Data Processor. That means:

  • You are responsible for telling those people how you use their information, and for having a lawful basis, such as consent, to collect it and contact them.
  • We process it only to provide BuzinessAI to you, on your instructions and under our Terms and conditions.
  • We don't contact your leads for our own purposes, sell them, or combine them with other customers' data.
  • Agencies keep each client's leads in a separate client workspace.

If you are a lead or customer of a business that uses BuzinessAI and want to access, correct or delete your information, please contact that business. If you contact us instead, we'll pass your request on to them.

8.How we share information

In short: We don't sell personal information. We share it with service providers who help us run BuzinessAI, with the platforms you connect, and where the law requires.

Service providers
Companies that host our infrastructure, run AI models, process payments (Razorpay), send email, provide support tools and, where you allow it, analytics. They may only use personal information to provide their services to us.
Platforms you connect
Meta, Google, YouTube, LinkedIn and other services you connect receive the posts, ads, audiences and other content you ask us to send to them.
Your team and clients
People you invite to a workspace can see its content. On the Agency plan, agency team members can see the client workspaces they manage.
Professional advisers
Lawyers, accountants and auditors, who are bound by duties of confidentiality.
Legal and safety reasons
Courts, regulators, law enforcement or other authorities, where the law requires it or where it's needed to protect the rights, property or safety of BuzinessAI, our users or the public.
Business transfers
A buyer or successor if we are involved in a merger, acquisition, financing or sale of assets. They must continue to protect your information as this policy describes.

We don't sell personal information, and we don't share it with third parties for their own marketing.

9.International transfers

In short: Some of our service providers process information outside India. When they do, we protect it with contracts and the safeguards the law requires.

Our team is based in India. Some service providers we use, such as cloud hosting and AI model providers, may process personal information in other countries. We transfer personal information only to countries where the law allows it, and we use contractual commitments to make sure it is protected to a similar standard.

If you are in the European Economic Area or the United Kingdom, we rely on safeguards such as the European Commission's Standard Contractual Clauses and the UK addendum for transfers to countries that are not considered to provide adequate protection.

10.How long we keep information

In short: We keep information while your account is open and for a limited time afterwards, unless the law requires us to keep it longer.

Backups are overwritten on a rolling basis, so deleted information may stay in a backup for a short time before it is removed.

11.How we protect information

In short: We use technical and organisational safeguards, and we keep each business's data separate.

  • Each business, and each client of an agency, has its own workspace. Data isolation is on by default.
  • Information travels between your browser and our service over encrypted connections (HTTPS).
  • Access to personal information is limited to staff and service providers who need it to do their job, and they are bound by confidentiality.
  • Card payments are handled by Razorpay, so your full card details never reach us.
  • Nothing publishes and no budget is spent without a person approving it.

No system is completely secure. If a personal data breach affects you, we will notify you and the relevant authorities as the law requires.

You can help keep your account safe by using a strong, unique password, giving workspace access only to people who need it, and removing team members when they leave.

12.Your rights and choices

In short: You can access, correct and delete your information, withdraw consent and raise a complaint. Email us to use any of these rights.

Depending on where you live, you have some or all of these rights:

Access
Ask for a summary of the personal information we hold about you, how we use it, and who we have shared it with.
Correction
Ask us to correct, complete or update your information. You can change most account details yourself in settings.
Erasure
Ask us to delete your personal information, unless we must keep it to meet a legal obligation.
Withdraw consent
Where we rely on your consent, withdraw it at any time, as easily as you gave it. This doesn't affect anything we did before you withdrew it.
Nominate
Under India's DPDP Act, name someone to exercise your rights if you die or become unable to do so.
Grievance redressal
Complain to our Grievance Officer and, if you are not satisfied, to the Data Protection Board of India.
Rights in the EEA and UK
Receive your data in a portable format, object to processing based on legitimate interests, ask us to restrict processing, and complain to your local data protection authority.

Choices you can make at any time

  • Turn optional cookies on or off on the Cookie settings page.
  • Unsubscribe from marketing emails using the link in any of them.
  • Disconnect Meta, Google, YouTube or LinkedIn accounts from your workspace settings.
  • Delete leads and content from your workspace, or ask us to close your account.

How to make a request

Email support@buziness.ai from the address on your account and tell us which right you want to use. We may need to confirm your identity before we act. We'll respond within 30 days, or sooner where the law requires, and there's no charge for making a request.

13.Children

BuzinessAI is a business tool for people aged 18 and over. We don't knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we will delete it.

14.Links to other services

Our website and app link to, and work with, services we don't control, such as Meta, Google, YouTube, LinkedIn and Razorpay. Their own privacy policies govern how they handle your information, and we encourage you to read them.

15.Changes to this policy

We update this policy when our practices or the law change. When we do, we change the "Last updated" date at the top. If a change is significant, we'll tell you by email or in the app before it takes effect. Earlier versions are available on request.

16.Grievance Officer and contact

If you have a question or complaint about this policy or how we handle personal information, email support@buziness.ai with "Grievance Officer" in the subject line. Our Grievance Officer will acknowledge your message within one working day and aim to resolve it within 30 days.
